Arriva Shipping Polska makes every effort to protect the privacy of those using its recruitment services. Below we explain how we handle your personal data and your rights under the GDPR.

What data we process and why
Applying for a job and recruitment: if you express your interest via the form, we only require your e-mail address to make contact. During recruitment we process the data you provide (contact details, date and place of birth, nearest airport, travel and qualification documents, employment history, references). Applications are not subject to automated decision-making.
After your candidacy is accepted and during employment, we process the data needed for embarkation and travel (address, national ID, emergency contact, bank account, copies of passport, seaman’s book, visas, qualification documents and medical certificate).
Legal basis: necessity to perform the recruitment service contract (Article 6(1)(b) GDPR), legal obligation under the Maritime Labour Act (Article 6(1)(c)), and your consent for excess data and future recruitment (Article 6(1)(a)).
Who we share data with
We share your data with: the employer (Arriva Shipping AS, Ølen, Norway) and the ship manager, masters of the vessels on which you are or will be employed, transport and ticketing providers and port agents at ports of embarkation, and our HR software provider (Mintra Group, Oslo). A full list of providers is kept up to date and available on request.
We also share data with authorised public authorities upon lawful request (including the Maritime Office, Labour Inspectorate, Police, President of the Personal Data Protection Office).
How long we keep your data
Data processed in a current recruitment process is deleted promptly after it ends; for defence against potential claims we keep it no longer than the limitation period for such claims.
Data processed on the basis of consent for future recruitment is kept for up to 1 year from the date consent is given, unless you withdraw it earlier.
Data of employed seafarers is kept for the duration of employment and for the period required by law for employee records.
Your rights
You have the right to: access your data, rectification, erasure (the "right to be forgotten"), restriction of processing, data portability, objection to processing, and to withdraw consent at any time (without affecting the lawfulness of processing before withdrawal).
We respond to requests promptly, no later than within one month. You also have the right to lodge a complaint with the President of the Personal Data Protection Office.
Data security
All operations on personal data are logged, correspondence containing personal data is encrypted, and documents are password-protected. Access to data is limited to authorised persons only.
Changes to this policy
We may amend and supplement this Privacy Policy as needed. We will inform you of material changes at the e-mail address you provided.
